Inbound calls
Vega answers on the first ring, around the clock, in fluent English. No queues, no voicemail, just a human-sounding voice that books the patient right away.
CHANNELS
Every channel isn’t a separate toolbox, it’s the same Vega, with the same memory, meeting the patient wherever they prefer to communicate.
Vega answers on the first ring, around the clock, in fluent English. No queues, no voicemail, just a human-sounding voice that books the patient right away.
Two-way SMS for confirmations, reminders and quick questions. Patients who’d rather text than call get the same fast answers, at their own pace.
A discreet chat widget on the clinic’s site. Vega fields questions, explains treatments and books appointments before the visitor can close the tab.
Incoming email is read, understood and answered. Common questions get instant replies; more complex matters are escalated to the right person at the clinic.
Vega calls out to patients who are due for a check-up, missed an appointment or need rebooking. The schedule fills itself, without staff lifting the phone.
After a visit, Vega politely asks about the patient’s experience. Happy patients are guided to Google; unhappy ones are handled directly by the clinic.
When staff want to take the call themselves, they can dial right from the portal. Afterwards an AI summary is saved automatically to the patient card in Welvo, not to the clinical record.
Replies sent from the inbox carry the clinic’s own logo, signature and colours in a premium template, so the patient recognises the sender.
Vega answers Instagram DMs with the same knowledge base and books appointments right in the conversation, around the clock. No more replying by hand between treatments.
The same Vega answers and books in Messenger as on phone and chat, with full context and the clinic’s tone. One patient, one history, whatever the channel.
Phone, Instagram, SMS or web chat. Vega answers, understands and books straight into Muntra with the same calm tone.
ONE SHARED INBOX
Calls, SMS, web chat, email, Instagram and Facebook come together in the same inbox. Vega replies automatically, around the clock. When you want to take over, you write in the thread yourself and the reply goes out in the right channel. If you want Vega silent in a channel, you switch off auto-reply with a button.
No switching between apps. Every thread, whatever the channel, sits in the same view with full history.
Write yourself when a case needs a human. The reply goes out in the same channel the patient reached out on.
Want to handle a channel entirely by hand? Switch off Vega’s auto-reply there with a button, without touching the others.
WHEN YOU STEP IN
Sometimes you want to make the call yourself, or read up in peace. Welvo gives your team the same channels and the same context.
Your team calls patients straight from the browser, no handset needed. The call is logged in the patient history and can be summarised automatically by AI afterwards. Available as an add-on, needs a Telnyx connection and is enabled per clinic.
Missed calls and recorded messages are transcribed and summarised by Vega, with a flag when someone needs a callback. It all lands as readable rows in the inbox, so nobody listens through the voicemail box blind.
When you open a conversation, Vega shows at the top what the patient wants and the next step, grounded in the thread’s messages. A small wait-time marker shows how long the patient has waited for a reply, so the urgent stands out at once. You grasp the situation at a glance instead of reading the whole history.
IN PRACTICE
SCENE 01
A patient writes in the widget at 19:42: "I woke up with a toothache." Vega spots the emergency, asks for a phone number and calls back within a minute to book an urgent slot.
SCENE 02
At 14:00 the patient is a no-show. At 14:15 a friendly SMS goes out with three new times to choose from. The patient picks one, Vega books it, the schedule fixes itself.
SCENE 03
Two hours after the visit ends, Vega sends a short SMS: "How was your visit with us today?" Positive replies are directed to Google. Negative ones go straight to the clinic owner.
